Dear participant, please read this entire document carefully! On registration you are agreeing to accept these conditions of participation. There are two parts. Both parts are important to read and understand.
0. Special conditions in the context of the COVID-19 pandemic
We have developed a hygiene concept that must be adhered to by everyone involved. The current rules will be announced on site. In principle, the following applies: KlezWeCan events are off-limits to anyone who has recently had COVID-19, has tested positive for COVID-19 or is exhibiting typical COVID-19 symptoms, as well as to anyone who comes from, lives in or has recently visited current high-risk areas and had contact with affected people there. The current conditions of travel apply as well as general local regulations.
Physical distancing rules must be observed at all times. Masks are to be worn as required – please follow safety instructions as they are announced. Physical and social contact is to be kept to a necessary minimum. A minimum distance of at least 1.5 meters is to be observed whenever possible.
Please observe all general hygiene guidelines: wash/disinfect your hands regularly, observe sneezing/coughing etiquette and avoiding physical contact (shaking hands, hugging, etc.). Please note: we are required to use the address you provide when registering to check whether you come from a region that is subject to travel restrictions. If this is the case, you will not be allowed to participate. If you have already registered, your paid fee will be refunded. Your contact details will be kept for up to 4 weeks after the event so that chains of infection can be tracked and handed over to the responsible health department on request. If we have to cancel an event due to local regulations, you will be reimbursed any fees already paid.

2. Registration/workshop fee
After your registration you will receive an email request for payment. The workshop fee must then be transferred by the specified deadline.
3. Languages of instruction
The workshop will be taught primarily in German.
4. Course schedule
You will get information on the daily schedule and about how the workshop is organised in advance. Changes to the daily schedule may occur during the workshop itself. Please note that workshop content and leadership are subject to change.
5. Overnight stay/arrival and departure/meals
Each participant is responsible for their own accommodation and food expenses. Exceptions are some specific events such as the ‘KlezmerMusikFreizeit’. The respective conditions are named in the workshop description. You bear the costs for travel to and from the hotel yourself.
6. Cancellation of registration
The number of participants per workshop is limited. Preference will be given to participants who registered early. In the event of cancellation, a processing fee equal to the workshop participation fee is due. This also applies if you have not paid the fee in full before the workshop starts, if you fail to attend the workshop, or if you leave early of your own free will.
If the minimum number is not reached, KlezWeCan e.V. reserves the right to cancel the workshop. In such a case, the workshop fees paid will be fully refunded to your account within four weeks. We recommend taking out seminar cancellation insurance in order to be reimbursed for travel expenses and course costs in the event that workshop participation is prevented.
7. Special discounts
Further reductions outside of the scale of fees listed in the workshop description are possible in exceptional cases. Please send an email to info@klezwecan.de.
8. Documentation
Multimedia documentation is made of all workshops. With your registration, you grant KlezWeCan e.V. permission to use such documentation for archival and promotional purposes. This also includes publication on the internet including social media.
9. Privacy policy
Data security is a high priority for us. For This reason, we strictly adhere to the General Data Protection Regulation (GDPR), which came into force in May 2018. Below, you will find information regarding the type of data you will be asked to provide and the reasons why that data is collected during your participation in KlezWeCan and your visit to our website www.klezwecan.de.
9.1 Registration for KlezWeCan
The personal data you provide when registering for a KlezWeCan workshop (name, address, email) will be used by KlezWeCan e.V. exclusively for internal purposes, to process your registration and for internal statistical evaluation. The data is collected and processed automatically on Excel spreadsheets and databases on the PC in the office of KlezWeCan e.V. in Erfurt. The processing takes place on a local server as well as in a cloud database. You may revoke your authorization to process personal data at any time and with immediate effect – provided your data is not necessary to process a transaction linked to your registration – by sending an email to info@klezwecan.de.
Your data will not be disclosed to third parties unless required by law or necessary to process a transaction linked to your registration. We employ other companies and individuals, explicitly in the domain of contact information processing for our newsletter, data analysis for advertising and marketing purposes, and the processing of payments (donations, membership fees and workshop registration fees) via credit card, direct debit, PayPal, paydirekt and purchase on account. We will share your personal data with your workshop instructor(s) only with your consent, and only if this information is relevant to the planning and implementation of the workshop(s). While all the above-mentioned service providers, employees and credit institutions have access to necessary personal data, they may not share or use this information for any other purpose and are contractually bound to handle it in accordance with this privacy statement and the GDPR.
9.2 Links to other websites
We cannot guarantee the accuracy and completeness of information found on the websites of third parties we provide links to on our website, nor can we assume liability for the data security of these websites. As we have no influence on third parties’ compliance with data protection regulations, we recommend that you check the respective privacy statements of each web site separately.
9.3 Newsletter
Should you choose to subscribe to the KlezWeCan e.V. newsletter when registering, we will save and process your name and email address, both on our PCs at the KlezWeCan e.V. office in Erfurt and in a cloud database.
The newsletter, which we send out intermittently, contains information about the activity of KlezWeCan e.V. and its partner associations. Should you choose to discontinue your subscription (either by clicking on ‘unsubscribe’ or by sending an email to info@klezwecan.de), your personal data will be deleted immediately.
9.4 Storage duration
We will store your personal information until the purpose for which you entrusted it to us is achieved, and no longer. In cases in which a retention period is required by commercial and tax law, certain data may be stored for a maximum of 10 years.
9.5 Your rights
Should you choose to revoke your consent to the storage of personal data, or should your data become inaccurate, we will delete, correct or block your data in accordance with the statutory provisions. 10. Liability
